How to use Clearline
Ten steps from an empty account to a working call list. Most people are through it in under half an hour.
Create your account
Go to app.clearlinecrm.com and press Start free trial. Enter your name, work email and a password of at least eight characters. We email you a six-digit code. Type it in and you are inside.
- Two days free, no card
- The code arrives within a minute, check spam if not
- Use a work email so password resets reach you
Set up your profile
Open Team in the sidebar. Put in your name, agency, phone, email and office address. Set your daily call target.
- Your name and agency appear on vendor reports
- The daily target drives the dashboard progress bar
- Your initials replace the placeholder in the sidebar
Bring your database in
Press Import at the bottom of the sidebar. Drop in a CSV exported from your current system. Clearline matches your column headings automatically.
- Check the Preview panel before importing, it shows exactly what will be saved
- Full Name splits into first and last automatically
- Street Number and Street Name join into one address
- Duplicates are skipped on address and phone
Put your contacts on the map
Open Map and press Locate addresses. Clearline looks up each street address and pins it exactly.
- Only real addresses are pinned, nothing is approximated
- Around three minutes for 500 contacts
- Leave the tab open while it runs
- Anything it cannot match is left off rather than placed wrongly
Run your first call session
Press Start prospecting on the dashboard. One contact at a time, already in the right order.
- Tier 0 never contacted comes first
- Then voicemails past their seven-day wait
- Talking points and previous notes are on screen
- Tap the number to dial on a phone
Log the outcome
Press one key. C connected, V voicemail, N no answer, W wrong number, A appraisal booked, S skip.
- Connected sets the next call by category cadence
- Voicemail and no answer snooze seven days
- Appraisal booked opens a date and time dialog
- Type a note first and it saves with the outcome
Book and log appraisals
When you press A, Clearline asks for the date, time and address, then puts it in your calendar. After the appointment passes it reminds you to log the price range.
- The appointment appears on the calendar and dashboard
- A red strip appears when an appraisal needs logging
- Record a range or a single figure, plus notes
- A follow-up reminder is set 90 days out
Work the pipeline
Open Pipeline. Drag a card between Hot Stock and Pipeline to change their category, which changes how often they are called.
- Hot Stock is every 7 days
- Pipeline is every 14 days
- Prospecting is every 30 days
- Just Database has no reminder
Track a listing campaign
Open Campaigns and add the property. Check buyers in at the open home, record their feedback and interest, then generate a vendor report.
- Check-in can create a buyer contact at the same time
- Price feedback averages automatically
- The vendor report prints on your letterhead
- Days on market and enquiry counts update themselves
Review the week
Open Analytics. Calls made, connect rate, appraisals booked and listings won, broken down by outcome, source and suburb.
- Spot which suburbs repay the effort
- Check your connect rate is holding up
- Export anything to CSV from Admin

Getting the most out of it
Call at the same time every day
The queue only works if it is emptied. Thirty minutes at a fixed time beats three hours once a fortnight.
Write the note while you remember it
One line about what they said is worth more than a perfectly filled-in record. Future you will thank present you.
Move people between categories
Someone who mentions selling next spring belongs in Pipeline, not Just Database. The cadence follows the category.
Log every appraisal
The price range on record is what makes the follow-up call useful six months later.
